Publishing and management

Preview, versions, and publishing allow you to modify a User View without immediately changing what end users see.

Preview​

Select Preview to test the current draft.

Verify at least:

  • all pages;
  • light and dark themes;
  • filters and interactions;
  • empty-state scenarios;
  • sources and refresh;
  • Workflow widgets;
  • various display sizes.

Preview displays the draft; the view opened from the Workspace uses the last published version instead.

Publish​

  1. Wait for the draft to be saved.
  2. Select Publish.
  3. Confirm the operation.
  4. Open the published view from the catalog or the Workspace.

Each publish creates a new version. If validation detects an incomplete configuration, the publish is blocked and the editor indicates what to correct.

Versions, comparison, and rollback​

The Versions menu lists available publishes.

With Compare versions, you can examine differences related to:

  • view properties;
  • pages;
  • widgets;
  • position and size;
  • content and configuration.

Rollback copies the selected version into the current draft. To make it visible to users, you must review it and publish it again.

Semantic Model Versions​

If a source maintains a specific version of a Semantic Model, the editor notifies you when a newer version is available.

From Version details, you can:

  • view relevant differences;
  • verify affected fields and measures;
  • decide whether to continue with the current version;
  • switch to the last published version.

Always perform a Preview after making changes.

Manage the view​

The Manage view command gathers shares, perimeter, and advanced options.

Shares​

Sharing can assign compatible users permissions for viewing, editing, or properties.

A user is compatible when they belong to at least one project and a role included in the view's perimeter.

Perimeter​

The perimeter requires at least:

  • a project;
  • a role.

Editing can immediately change who can find or use the view. Before saving, verify that you do not remove your own access or that of the operational group.

Cloning​

Cloning creates a new view starting from the current definition. Owner and Editor can enter the clone's name and choose a Project in which they hold at least the Editor role; the clone opens as an independent draft.

Archiving and deletion​

Archiving removes the view from normal operational areas without immediately deleting its history.

Definitive deletion requires typing the exact name. The modal summarises versions, executions, reports, Workflows that reference the view, and other users with access. This information describes the effects of the operation and does not prevent confirmation: history is removed, accesses are revoked, and indicated Workflows must be reconfigured.

Import and export​

In the Export menu of the Designer Workbench, selecting a User View allows you to choose which dependencies to include:

  • Semantic Models;
  • connections;
  • roles.

You can export all dependencies or only the View. In the latter case, during import you must specify equivalent objects present in the target system.

Import → User View in the Designer Workbench analyses the file and shows:

  • whether the same View already exists;
  • Semantic Models included or merely referenced;
  • required connections;
  • role mappings;
  • available target projects and roles.

For an existing View, choose whether to overwrite it or create a copy with a new name. For an included Semantic Model, choose, based on permissions, whether to reuse, overwrite, or duplicate it. When the identity of a dependency changes, Sybot automatically updates references to the imported objects.

Passwords are not part of the package. To recreate a manual connection, you must enter them during import.

Using the published view​

The runtime toolbar provides the following options, depending on configuration:

  • refresh all data;
  • advanced filters;
  • fullscreen mode;
  • fit to page or width;
  • custom view percentage;
  • option to hide the product menu;
  • export full PDF.

The context menu of a widget can offer focus, data refresh, and data export when supported.

Focus and advanced filters​

The Focus widget temporarily enlarges an element and, for compatible widgets, allows viewing the underlying data.

Custom widgets can also be opened in Focus. The content in Focus uses a dedicated isolated instance, while the original widget remains available in the canvas and is restored without losing its state upon closing. The instance is centred and scaled proportionally to fill the available space without altering the width-to-height ratio.

The Advanced filters panel summarises the fields used on the page. Clear filters restores the initial state.

Custom homepage​

When an administrator enables this option, a published and accessible User View can be used as a custom homepage. If the view is no longer available, Sybot reverts to the standard Workspace.

Final check​

Before making the view available to a large group:

  1. publish a candidate version;
  2. verify access and data with a Viewer profile;
  3. test filters, exports, and workflows;
  4. check error messages and empty states;
  5. confirm projects, roles, and shares.
